The Essential Pre-Launch Checklist: Setting Up Your OnSinch

This guide reviews all critical steps before you start inviting people to your new OnSinch. With help of this guide you can  personalize the system and get your documents, informations and requirements in place so that your first interaction with staff and clients is professional, clear, and compliant.

Visual Identity & Regulatory Compliance

The first interaction your staff or clients have with the platform is a critical step. It is your opportunity to visually align OnSinch with your brand identity while ensuring your business remains protected from any legal risks.

  • Branding & Interface: Navigate to Settings→ Agency→ Theme to upload your corporate logo and define system colors. Consistency in visual identity ensures staff and clients recognize the platform as an official extension of your business.

  • Legal Framework: Within the Texts tab, populate the Legal Policy (Terms & Conditions) and Privacy Policy (GDPR) sections. These documents are mandatory, staff must provide explicit consent during the registration process to ensure your operations remain legally sound.

The Post-Login Experience (Snippets)

The dashboard serves as the central hub for all of your staff and clients, so more usefull informations you will show the better. 

  • Dashboard Snippets: Review and customize the information snippets visible upon login. These should provide clear guidance for new staff members-such as instructions on how to browse available shifts or complete their profiles

Welcome Email (Email Templates)

Welcome email is often the first point of contact for a new staff member, so it is cruicial to have setup accordingly

  • Email Template Review: Go to Settings → Notifications → Notification Settings to audit your automated email templates. Ensure the tone aligns with your company voice and that all contact information are accurate.

  • Verification: To test it, try to register as a new staff member with your personal address or add yourself as a worker to verify the layout, link functionality, and overall look of the message or preview messages in HTML format in Settings.

Data Collection & Profile Attributes

Efficiency in staffing depends on having the right data about your staff at your disposal and having your staff fill out all needed information.

  • Custom Attributes: Review your Personal and Profile attributes to define the data points required for your operations (e.g., certifications, equipment sizes, banking details or food allergies).

  • Validation Rules: Set critical fields as "Required" or "Approval required" to ensure data integrity from the moment of registration. Those attributes need to be manually approved by admins to have full control over those attributes.

Professional Classification (Positions & Skills)

Organizing your workforce effectively requires clear categorization of postions and skills

  • Defined Professions: Establish your primary work roles (e.g., Stagehand, Supervisor, Technician, Rigger) based on your bussines needs.

  • Default Assignment: Configure a Default Profession to ensure all new registrants are automatically categorized into a manageable pool, preventing data fragmentation.

Information Management (CMS & Knowledge Base)

A well-populated Information section reduces administrative overhead by providing self-service resources easily reachable by your staff members in one place

  • The Resource Library: Use the CMS module to upload essential documents such as staff handbooks, safety protocols, and dress code requirements.

  • Contact Directory: Ensure your business contact details and emergency protocols are up to date and easily accessible.

Onboarding Workflow (Approval Logic of new staff members)

Establishing your recruitment workflow is a fundamental operational decision how to handle new staff members. After new staff is invited to OnSinch and verifies their login email address via activation email, account is verified but not approved. Only admins can approve or disapprove their accounts.

  • Approval Strategy: Determine your preferred vetting process in Staff Settings

    • Manual Approval: Provides maximum control, admins must review and activate each account after all mandatory fields are filled such as a verified profile picture or important mandatory staff details

Note: Before proceeding with a full-scale launch, we recommend performing a complete registration audit. Create a test staff account to experience the onboarding workflow from the staff perspective. This allows you to identify any friction points in the registration, legal consent, or dashboard navigation phases.
