New staff member recruitment

This article briefly goes through the process of recruiting a new staff member. Everything you need to know about the registration process and onboarding a new member.

The process consists of 3 main parts:

1. Staff member registration.

2. Filling in the profile by a staff member.

3. Administrator's approval of the profile and other HR steps.

Staff member's registration

Staff member:

1. The staff member will receive a sign-up link to fill in the registration form. 

2. Staff member registers and receives an Activation email. Through the email, the staff member activates their account and logs in to the system. Upon logging in, the staff member receives a Welcome email.

 

Administrator:

Once the staff member enters the main page, the administrator gets a "New user activated" email. 

 

After registration

Staff member:

1. The staff member goes to edit their profile and fills in the attributes. Then follows the profile picture upload.

2. Staff member waits for profile approval and, in the meantime, can go over the CMS.

 

 

Administrator:

1. After the profile is filled in by the staff member, the administrator goes to the Profile checks section and selects  Profiles to approve.

2. From there, the administrator opens the staff member's profile for review. 

3. If the profile is approved, the administrator can assign the staff member other professions via the Edit button. 

4. In the final step, a contract can be sent for a signature.

*5. The administrator can turn ON notifications for changes in attributes to get notified about important information being changed.

Navigate to Notification settings in the menu> "Profile changes" notification >  turn ON and save. The administrator opens their profile, then selects their notification settings, and chooses the attributes they want to get notified about > save.

💡Add a staff summary widget on the dashboard to keep track of profiles to approve.


Agency settings restriction

To make sure your shifts consist of approved staff members with the correct qualifications and certificates, navigate to Agency settings to set the visibility and options for joining a shift if:

1. Approved profile,

2. Approved profile picture,

3. Valid contract,

4. Minimal rating,

5. Filled in the address,

6. Verified phone number*.

❗*The option to verify phone number is functional only if the SMS gateway is activated.

Staff member's status

A staff profile can have many statuses to indicate the staff member's progress.

CMS setup

You can create a different set of CMS content for approved and unapproved staff members. Once you are in the CMS settings, navigate to the "Views" section and select which group of staff members the content will be accessible to.

 

Snippet setup

With snippets, you can also decide whether it will be shown to staff members with approved or unapproved profiles. It can be useful to guide these groups of staff members accordingly.
