Glossary

An alphabetical list of the main terms and phrases used in OnSinch along with explanations of their meanings.

Term Description
Admin Name of the user role which has management privileges of the whole application.
Agency An OnSinch customer's company who uses the application.
Agency settings The main settings in which the majority of functions in OnSinch can be set up.
Antigroup When two or more shifts shouldn't be attended by the same staff member, they can be marked as Antigroup to make sure the staff member is not able to sign up for both.
Appointment Appointments are any events or happenings that are not jobs or shifts, e.g. payouts, staff training, team building, etc. Staff members can sign up for appointments in OnSinch.
Approve The button used to approve staff member information (profile picture and attributes), jobs created, or changes requested by clients.
Attendance When a staff member is assigned to a shift, they have an Attendance.
Attendances Describes all Attendances, typically within one shift.
Badge A Badge is a special mark assigned to staff members by administrators, or by OnSinch, based on the rules that the administrator sets up. A badge can have an image and several levels, e.g. beginner, intermediate and advanced.
Bank account Bank account number.
Banlist A list of staff members who are forbidden to sign up for a specific client's jobs.
Break Refers to a work break.
Builder The Builder is a special component of OnSinch where the job, order and shift can be edited. The builder provides more details and tools compared to the general view.
Calculation A calculation that describes an order's costs, wages and prices.
Calendar A staff member calendar which shows all of the upcoming and past jobs.
Calendar view The calendar view allows a user to view their jobs and appointments in OnSinch, which also provides an interactive and easily customizable view of their work and other tasks in their calendar.
Client A client is a person working in a Company that is the Agency's customer.
Close shift A completed shift must be closed in OnSinch by the lead worker and/or the administrator. Attendances, arrivals, working times, the amount of salaries, bonuses and the cost of work needs to be filled in and checked when closing a shift. Then it is considered Closed and can be invoiced.
Closed (Order/Job/Shift/Position) Completed shifts closed by the lead worker and/or administrator.
CMS An abbreviation for Content Management System, a term to describe custom page/content creation. The CMS allows you to manage content in OnSinch with the ability to add text, links, images or videos to the menu.
Coeficient A Coeficient determines how much a staff member rating changes. It multiplies the rating deduction in case of repeated misdemeanors. An administrator sets up the coeficient.
Communication Describes all of the communication between OnSinch and the staff member.
Company Company, as the economical subject, is the agency's customer. A Company can have multiple clients = people working for the Company.
Conditional penalty A penalty, financial or access based, assigned to staff members if they arrive late or not at all. It can be excused if the staff member explains their absence with an acceptable reason.
Contact person A Contact person. Either a client's Contact person, supervisor or the lead worker.
Contract A document (scanned or digital) that proves an agreement concerning a worker's employment for an agency.
Contract type The type of contract signed by the staff member.
Created by Refers to the user who created a specific record or item in OnSinch.
Credit note A Credit note is effectively a negative invoice created to notify the client that they have been credited a certain amount due to an error in the original invoice or other reasons.
Dashboard The Dashboard is the home page in OnSinch that organizes and presents key information.
Decline The button used when declining a client's changes by the administrator.
Edited by Refers to the user who edited a specific record or item in OnSinch.
Effect A component of OnSinch which adds a specific effect to a shift or position. It alters prices and wages based on specific conditions.
E-signature A feature for signing documents digitally. 
Excused A term used to mark the status of an attendance when a staff member has been excused for not coming to work.
Feedback A component of OnSinch which allows staff members to add feedback to other staff members or to shifts.
Finances The area of OnSinch responsible for listing financial data, like payments, invoices etc.
Finished (Order/Job/Shift/Position) A Finished Order/Job/Shift/Position is finished on time, but is yet to be closed by a lead worker and/or administrator. See Closed Order/Job/Shift/Position for another meaning.
Gross profit The amount of money made by an agency based on one order. Earnings - costs = Gross profit.
Group When two or more shifts are to be attended by the same staff member, they can be marked as "Group" to make sure the staff member has to sign up for both shifts.
Hidden Orders/Jobs/Shifts/Positions hidden by the administrator are not visible to staff members and/or clients in OnSinch.
History Used to describe past shifts and events.
Hours The number of hours of Order/Job/Shift/Position or an Attendance.
Important attributes A staff member's Personal attributes which are considered important and highlighted.
Invoice A financial document that shows the list of services provided by the agency for their customers, with a statement of the total due for them; a bill.
Invoice item An item on the invoice that represents an item on the list of services provided. An invoice item is one row on the invoice itself.
Job A job is a task or piece of work. Jobs are a part of the Order and they consist of many Shifts.
Late arrival A term used to mark the status of attendance when a staff member arrives late.
Lead worker A Lead worker is a person in charge of the team at the place of a job. e.g. crew chief, crew boss, senior hostess, etc. They are often in charge of the team's attendance and control the working arrangements.
Location Refers to the place where a shift happens.
Locked Orders/Jobs/Shifts/Positions that are locked by the administrator are visible for staff members but are not open for sign up.
Meeting time The time that staff members have to arrive for their shift.
Negative Used to describe the character of a given feedback. (Bad)
Neutral Used to describe the character of a given feedback. (Neither good nor bad)
News A component of OnSinch for publishing news.
Newsletter A component of OnSinch for sending email newsletters.
Not present The term used to mark the status of an attendance when a staff member has not been at work.
Number (Order/Job/Shift/Position) An Order/Job/Shift/Position number is a unique identifier which other users can relate to.
Open (Order/Job/Shift/Position) An Open Order/Job/Shift/Position is yet to happen in time. See Finished Order/Job/Shift/Position for the opposite meaning.
Order An Order is a request to provide services from the agency. In OnSinch, the term is used to describe the basic organisational group consisitng of many Jobs. Orders are created by the clients or administrators and are invoiced to the client.
Order item An item of the order that represents an item of services provided.
Overlapping attednances Attendances of one particular staff member which are partially or fully happening simultaneously.
Payment method OnSinch supports different payment methods based on different types of employee contracts or invoices from contractors.
Payout request OnSinch gives you several options on how to help deliver payouts to your staff members. There is an optional feature to let the staff members be paid immediately, directly into their bank accounts upon making a payout request form their virtual wallets. You can also decide to handle payouts in person.
Penalty A financial or other punishment assigned to staff members if they arrive late or not at all.
Pending (Order/Job/Shift/Position) A Pending Order/Job/Shift/Position are orders created as price quotes that are waiting for approval from the client and the admin in order to become regular jobs. Otherwise they are rejected and archived as a price quote.
Personal attribute A Personal attribute is personal information, such as a profile picture, birth number, birthplace or ID card number, which are specified in the staff member profile.
Portal An electronic gateway to a collection of services, data, files and information in Sinch. It's different for each OnSinch user: Admin portal, worker portal, client portal.
Position A Position is a part of a Shift. It refers to a work placement which can be assigned to a specific staff member.
Position role A Position role determines the type of Position. There are three position roles in OnSinch: Lead worker/Staff member/Standby. To refer to the type of a user access (Admin/Woker/Client), see User role.
Positive Used to describe the character of a given feedback. (Good)
Present A term used to mark the status of attendance when a staff member has arrived to work on time.
Price quote A financial document describing the offer to a client with an estimated cost for provided services.
Pricelist Price lists determine how much your company charges its clients for the provided work.
Pro forma invoice A Pro forma invoice, also known as an estimate or quote, is essentially a preliminary bill of sale. It outlines the agency’s intent to provide services to the customers, for a specific price. As the price hasn’t been agreed yet, a pro forma invoice does not require payment.
Profession Depending on the services that your business provides, you can set up and customize various professions in Sinch, e. g. stagehands, technicians, hostesses, models, security guards etc.
Profile The page in OnSinch which shows details about a user. It's different for each OnSinch user: Admin profile, staff mmeber profile, client profile.
Profile attribute A Profile attribute is work-related information your staff members need to fill in to their profiles, such as language skills, certificates, driver’s licenses, clothing size, etc.
Push notification A message which can be sent directly to a staff member's device such as mobile phone if allowed.
Rating Rating is the basic value that determines the level (or reliability) of a staff member.
Referral system A component of OnSinch which allows the staff members to invite other staff members with special code for a financial bonus.
Requirement A requirement refers to the conditions that a staff member has to meet before joining a shift. It is up to the administrator how strict they set the job requirements to ensure that an unskilled staff member does not sign up for the job.
Reverse charge A financial term. Reverse charge is a mechanism where the recipient of the services is liable to pay VAT instead of the supplier. In practice when issuing an invoice within the EU, an invoice with a Reverse charge is an invoice with no VAT.
Running (Order/Job/Shift/Position) The state of an Order/Job/Shift/Position which means that it is currently happening.
Settings A software control panel that enables the user to configure the appearance or actions in OnSinch.
Shift A Shift is a part of the Job. It refers to a group of staff members who do a job for a period of time during the day or night, or the period of time itself. A Shift consists of many Positions.
Shift invitation An option to add staff member to the shift and require confirmation from their side. Admin is notified about staff member's reaction.
Scheduled tasks An area of OnSinch that lists all of the backend system processes such as sending predefined registration emails, etc.
Scheduler A calendar like feature of staff members and jobs that helps you to organize the whole team.
Sign off The act of leaving a work Position.
Sign up The act of joining a shift.
Sign up The process of creating a user account and registering into OnSinch.
OnSinch Refers to the OnSinch application.
Snippet Snippets are boxes, with brief editable texts, that appear on certain pages in the worker portal. You can use them to communicate customized messages to all of your staff members directly in their worker portals.
Supervisor One of the administrators can be a supervisor for a specific job. Staff members know who the supervisor is. The Supervisor has an overview of all of the jobs that they are supervising.
Staff clock-in A feature for recording arrivals and departures to the shift by staff members including an option for geolocation check.
Standby A specific role on the job. Standby staff members get a fee for going to the job location and being ready to work in case they are needed. If all of the regular staff members show up, the standby staff members can go home. If there is a problem and they are needed to do the actual work, they get paid as a regular staff member.
Tag A component of OnSinch that allows Tags with short descripitons to be added to shifts. They can effect the wage and price of that shift and are visible to staff members.
Time reserve Amount of hours before and/or after a shift during which the staff members cannot sign up for another shift.
To approve An area of Sinch that lists items to be approved by the admin, such as staff member information (profile picture and attributes), jobs created, or changes requested by clients.
To close by admin A completed shift must first be closed by the lead worker who coordinated the work on the spot. This staff member takes and confirms the attendance of all of the other staff members and reports any changes or other important information to the person who will close the job as an administrator of your company. Shifts closed by lead workers are displayed on the page as "To close by admin". From this page, it is possible to open the details of shifts awaiting final confirmation by the responsible administrator of your company. On this page, you can also check and correct working times of the staff members who provided the job and make other adjustments, including the amount of salaries, bonuses and the cost of the work that was done. Revisions at this stage must be done very carefully - completed and confirmed data about the job directly affect how much money the customer will be invoiced for work as part of their order, as well as what the amount of staff member's wages will be.
Orders to finish A status of completed and Closed shifts by the lead worker and/or administrator that are ready to be invoiced.
To-do With an Order/Job/Shift/Position, you can associate a To-do item for yourself or your colleagues.

URL slug Slug is a technical term that describes URL friendly text.
User A User is a person with an access into OnSinch. There are three types of user access: Admin/Woker/Client.
User account A an official account which grants access to work within OnSinch.
User role The type access a user is granted: Admin/Woker/Client.
Visibility A component of OnSinch which allows an Order/Job/Shift/Position to be Visible, Locked or Hidden.
Visible Orders/Jobs/Shifts/Positions that are marked as Visible by the administrator are visible to staff members and are avaible for sign up.
Wage A payment earned for work or services that is provided by the staff members, typically hourly based.
Wagelist Wagelists determine how much your staff members will get paid for provided work.
Wallet A component of OnSinch where all of the wages and payouts of a staff member are listed.
Wallet balance A wallet ballance is a number which shows the current amount of money in a staff member's wallet.
Wallet tag A component of OnSinch which allows specific wallet entries (wages, bonuses, items) to marked with various tags.
Staff member A user of OnSinch that works for an Agency.
Zip An archive file format that supports lossless data compression (.zip)
