Message templates

Setting message templates can help you save time on repetative communication. Let's explore how to set and use them in this article.

Message templates can be set for emails, SMS, and push notifications. Once set, you can send them from any part of the system. 


How to set a message template

To set a template navigate to Settings > Notifications > Message templates. At the top right corner click on +Add.

1. Name - Set the name of the template so when you are going to use it, you know exactly which one.

2. Channel - Choose between email, push notification or SMS, you are telling the system what channel you are going to use for this type of message.

3. Subject - Subject should be attention grabbing and clear to give the staff member a brief overview what the message will be about.

4. Message - The main element. Use the formating or add a table to prepare your message.

You can use the Preview button to see how will the final message look like and potentionaly do some editing.

After you are happy with how you set it > Save. This template is now ready to use and be send to the staff members.

How to use a message template

You can use the message template in many parts of the system.

Sending a message from order:

If you want to address only specific staff members in an order, job or on the shift, click on Send button at any level and select Message or Confirmation request. Then pick the wanted channel and apply template.

Sending a message from workers profile:

To send message directly to specific staff member, go to their profile and switch to a Communication tab. From here click on Send button and choose your type of message.

 

Sending a message from staff list:

Great for sending bulk emails to prefiltered staff members from staff list. After filter the targeted group, select the staff members and send them a message from the options at the bottom of the page.


❗Please note that SMS gateway is an extra feature requiring a special setup.

❗Staff members unsubscribed to push notifications will not receive one.
